The Pink Link Ladies Limited (‘Pink Link Ladies’) is committed to protecting you and your personal information when you are using Pink Link Ladies services. We want our services to be safe and enjoyable for our members.

This Privacy Policy relates to our use of any personal information you provide to us including through our Pink Link Ladies websites and online community platforms. To be able to provide you with the full range of Pink Link Ladies services, we are required to collect information about you.

This privacy policy explains the following:

  • what information the Pink Link Ladies Ltd may collect about you;
  • how the Pink Link Ladies Ltd will use the information we collect about you;
  • when the Pink Link Ladies Ltd may use your details to contact you;
  • whether the Pink Link Ladies Ltd will disclose your details to anyone else;
  • your choices regarding the personal information you have provided to us.

Pink Link Ladies Ltd is committed to safeguarding your personal information and using it responsibly. When you provide personal information to us, we are legally obliged to comply with all the laws concerning the protection of personal information, including the General Data Protection Regulation (‘GDPR’ – UK and EU versions) and the Data Protection Act 2018 (‘DPA’). We collectively refer to these laws in this Privacy Policy as the “data protection laws”).

As we collect information from the used of our website, this policy also covers the Pink Link Ladies Ltd Website. We do have a separate Cookies Policy published that provides more detail on Cookies. We encourage you to read this.

We do want to tell you that the website contains hyperlinks to websites owned and operated by third parties. These third-party websites have their own privacy policies, including cookies, and we urge you to review them. They will govern the use of personal information you submit or are collected by cookies whilst visiting these other websites. We do not accept any responsibility or liability for the privacy practices of such third-party websites and your use of such websites is at your own risk.

What information will be collected about me?

When you sign up to participate in or receive a service from Pink Link Ladies Ltd, such as newsletters, blogs, or forums, we will ask for personal information about you. This can consist of information such as your name, email address, postal address, telephone or mobile number or date of birth. Different access levels may ask for different personal information.

By entering your details in the fields requested, you enable Pink Link Ladies Ltd and its service providers to provide you with the services you select.

Please note that sometimes, on particular user level profiles, we will require you to provide additional personal information and sometimes more sensitive personal information. When you book an event, we use an external booking/ticket service, and they will collect some personal information about you to enable the booking process. Where there is a charge for an event, they may also collect payment details. In both instances, details will be passed to us.

When you make a contribution to the Pink Link Ladies Ltd website, online community platform, blogs or other published media, your name and profession/business details will be held as the author or contributor.

We do collect some information about your use of our website, and we encourage you to read our separate Cookie Policy. This information includes your IP addresses (an IP address is a number that can uniquely identify a specific computer or other network devices on the internet).

How will the information be used?

Pink Link Ladies Ltd will use your personal information for a number of purposes including the following:

  • for membership purposes;
  • for event coordination and attendance purposes;
  • for collection of charges or fees;
  • for “service administration purposes”, which means that Pink Link Ladies Ltd may contact you for reasons related to the service you have signed up for including:
    • to provide you with password reminders;
    • to notify you that a particular service has been suspended for maintenance;
    • in relation to any contribution that you have made to the website, e.g. on the forum;
  • where you have opted to receive further correspondence;
  • to invite you to participate in surveys about Pink Link Ladies Ltd services (participation is always voluntary);

Why we need your information – our legal bases

When you become a member of the Pink Link Ladies Community, you sign a contract with us through our terms and conditions.

We have a legitimate interest to collect certain information to be able to invoice you for membership and events. We also have a legitimate interest to be able to undertake necessary administrative tasks to enable us to operate Pink Link Ladies Ltd and to business and event plan effectively. This helps us remain accountable to you.

If you have signed up to our newsletter and you receive this by email, you have done so with your consent. We will also ask you for consent to undertake any marketing of our service and events to you. You can withdraw this consent at any time by asking us to remove you from our marketing or mailing list. You should contact events@pinklinkladies.co.uk to tell us.

Will you share my personal information with anyone else?

We will keep your information confidential except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies), to comply with a court order or as described for Partnership Events.

Partnership Events

If you do not wish us to pass on your details to our event partners, you should contact us at events@pinklinkladies.co.uk to tell us.

How long we will keep your information for

Like many companies, we are legally required to keep financial information for 6 years after the current year to comply with HMRC obligations and law.

We keep your details for the period that you are a member of the Pink Link Ladies Community. If you do decide to leave us, you will be cancelling your contract with us. We will ask you if you would like to continue to receive information or updates from us. If we do not receive a response, or you tell us you do not want any more contact from us, we will delete your details from our records at the end of the current financial year. This is because we do need certain information each year to help us with our business operation and planning.

If you are not a member but still join us for events or receive our newsletter etc we will keep your details until you tell us otherwise. Please note that if you do join an event, our funding or venues may require certain information including name or dietary requirements, even when you are not a member.

Where you contribute to the Pink Link Ladies Ltd website or community platforms, we will keep your details as author or contributor for as long as is reasonably required for the purpose it was submitted. Generally, this will be no more than 6 years.

What we do and don’t do

We do take every step we can to ensure the safety of your personal data and we have policies and procedures to do this. Where possible, we store your personal data in the UK, however, a service provider may use storage facilities within the EU/EEA or elsewhere.

We ensure that we have contracts in place for any external service providers and we take care in selecting these.

We are obliged to tell you that we do not make any automated decisions based on your data and we do not use it for profiling.

Can I find out what personal information you hold about me?

You have a number of rights relating to the processing of your personal data. You can ask to see the personal data that we hold about you (known as a Subject Access Request), or even as us to correct it or have it deleted.

You are not required to pay any fee for exercising your rights. If you do make a request, we have one month to respond to you. Please contact us at events@pinklinkladies.co.uk if you wish to make a request.

Where you have provided personal data with consent, you can withdraw this consent at any time. Please send an email to events@pinklinkladies.co.uk with the subject “withdraw consent” if you wish to do this.

What if I am accessing Pink Link Ladies Ltd websites outside the UK?

The Pink Link Ladies website is published in the UK by the Pink Link Ladies Ltd. All personal information submitted by you to the site goes directly to the Pink Link Ladies Ltd and will be processed in accordance with this Privacy Policy.

Offensive or inappropriate content on the Pink Link Ladies Ltd website

If you post or send offensive, inappropriate or objectionable content anywhere on or to the Pink Link Ladies Online Communities, or otherwise engage in any disruptive behaviour on the website, the Pink Link Ladies Ltd may use your personal information to stop such behaviour.
